Travel orders without manual entry: how to automate travel orders
Updated:
In Slovenia a travel order is the basis for tax-free reimbursement of mileage, per diems and other business trip costs. Everyone who drives for work needs one: employees in their own car, sole traders and tradespeople with a van. The problem is not the document but the typing. Most travel orders are written afterwards, in the evening or at the end of the month, from memory, the calendar and fuel receipts.
This guide shows how to produce travel orders without manual entry and what to check.
Why manual entry does not work
Manual entry works while there are few trips. Once there are more, three problems appear.
Time. A travel order written afterwards needs the date, route, purpose, departure and arrival times and kilometres. A tradesperson who drives between the workshop and sites several times a day can have more than a hundred drives a month. Even at a few minutes each, that is several hours a month.
Accuracy. Kilometres entered afterwards are estimates, and times are rounded. In a tax inspection kilometres are compared with fuel use, service records and other evidence. Estimated kilometres are the most common reason for corrections.
Forgotten trips. Short drives, for example to the builders' merchant, are the ones forgotten most often. For the company that means lost tax-free reimbursement; for the employee, less money.
What a travel order without manual entry means
It has three parts.
- Automatic trip detection. The phone detects the start and end of a drive and records the route, time and kilometres actually driven. The user does nothing while driving.
- Automatic calculation. The app assigns the trip to a vehicle and purpose and calculates mileage and per diems at current rates. The provider maintains the rates, so you do not have to follow them.
- Automatic export. At the end of the month travel orders are collected in an Excel calculation with the receipt photos, which you send to the accountant.
The person does one thing: confirms the trip, adjusts the purpose if needed or marks it as private.

Who benefits most
Automation pays off where drives are many and short.
- Builders and tradespeople driving between the workshop, warehouse and sites. See travel orders for construction and trades.
- Sole traders who drive to clients and write their own travel orders.
- Field teams of service technicians, fitters and sales reps.
- Small companies with several people on the road, where the manager cannot see who entered what.
With a few trips a month, manual entry or a free web app is enough. With ten a week, automatic detection saves several hours a month.
Getting started in five minutes
- Install eDriver from the App Store or Google Play.
- Create an account; 14 days are free with no credit card.
- Add a vehicle: private or company.
- Allow location access so the app can detect drives.
- Save frequent places, such as the workshop and warehouse, so trips are named.
The next drive is recorded by itself. At the end of the month choose export in the app or on the dashboard and send it to the accountant.
What to look for in an app
- Actual kilometres. The app should record the route driven, not just the distance between two places.
- Private drives. Separating them must be easy, or they get mixed with business trips.
- Current rates. Mileage and per diems change by regulation; the provider should update them.
- Receipts. Parking, toll and material receipts should be stored with the trip.
- Export. The accountant needs a table for the calculation and the receipts for the archive.
- Data in the EU. Location data is personal data; check where it is stored and when it is recorded.
How much you save
The saving depends on the number of drives and the time a travel order takes today. Enter your numbers in the savings calculator. For most tradespeople and field teams the subscription pays for itself in the first month.
Frequently asked questions
Is an automatically prepared travel order valid?
Yes. A travel order must contain the prescribed details of the trip, purpose, vehicle and calculation. How the data was collected is not prescribed; a GPS log with actual times and kilometres is the best evidence in an inspection.
Does the app record private drives too?
It detects all drives; you mark private ones with one tap and they stay out of the travel order. Location is recorded only while driving.
How long does set-up take?
A few minutes: install the app, sign up, add a vehicle and allow location access. The first trip is recorded the same day.
What does the accountant receive?
A monthly Excel calculation of travel orders with receipt photos, sent to the accountant's e-mail address.
